Terms of Service
These Terms of Service explain the rules for using the Prospect Network website, creating an account, registering a team, and paying for a tournament.

1. Agreement to These Terms
These Terms of Service ("Terms") govern your use of the Prospect Network website and services, including our website accounts, the Coach Portal, tournament registration, payments, rosters, player profiles, and waivers (together, the "Services"). Prospect Network LLC ("Prospect Network," "we," "us," or "our") operates the Services.
By creating an account, registering a team, or otherwise using the Services, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the Services.
These Terms apply to Prospect Network's website and online services. They do not replace, and should not be read as, a separate participant waiver, parent/guardian release, media release, or the Tournament Rules for a specific event - those documents separately govern participation, assumption of risk, liability, and on-field rules, and are described further in Sections 6 and 8 below.
2. About Prospect Network
Prospect Network is a Southern California youth and high-school travel baseball tournament company. Through our website, we provide information about upcoming tournaments, website accounts for coaches and parents/guardians, online team registration, payment tracking, roster management, waivers, player profiles, and related event communications.
Prospect Network does not currently offer online card payments through a dedicated payment processor - see Section 5 (Payments) for how payment actually works today.
3. Eligibility and Accounts
Prospect Network offers several account types: Regular User, Parent/Guardian, and coach accounts (Travel Ball Coach, High School Coach, College Coach, and Professional Scout).
Coach accounts
Coach accounts are for authorized adult representatives of a team or organization. A coach account gets Coach Portal access immediately at signup and is also asked to submit a coach verification application; Prospect Network administrators review that application and set the account's verification status. You represent that you are authorized to act on behalf of the team or organization you associate with your account.
Parent/Guardian accounts
A Parent/Guardian account can be linked to one or more players and is used to view and manage that player's profile information, and to complete waivers on a player's behalf where applicable.
No accounts for players/minors
Prospect Network does not currently offer a separate login account for players, including minors. A player's information is instead managed by a linked parent/guardian account or by the coach maintaining that player's team roster.
Accuracy, security, and suspension
You agree to provide accurate information when creating an account or submitting registration, roster, or waiver information, and to keep it reasonably up to date. You are responsible for maintaining the confidentiality of your account credentials and for activity that occurs under your account. Prospect Network may suspend or restrict an account for misuse, fraud, abuse, providing materially false information, or violation of these Terms or applicable event rules.
4. Tournament Registration
Submitting a team registration through the Coach Portal is a request to participate in a tournament, not a guarantee of a roster spot. Event availability and team capacity may be limited, and Prospect Network may accept, waitlist, or decline a registration.
A team's participation is not fully confirmed until Prospect Network has accepted the registration and, where required, the applicable deposit or payment has been verified (see Section 5). Submitting a registration form or reporting a payment by itself does not guarantee a team's spot in an event.
The information submitted with a registration - including team and organization details, age division, and point-of-contact information - must be accurate. Specific pricing, deposit amounts, dates, locations, divisions, game guarantees, and registration deadlines vary by event and are shown on that event's page and at checkout; the Tournament Rules page describes the standing rules that apply across events.
5. Payments
As of the Effective Date of these Terms, Prospect Network accepts tournament payments through Zelle, PayPal, and Venmo. We do not currently offer online card payments through a dedicated payment processor.
Prospect Network's checkout flow shows the payment instructions and identifiers (such as the Zelle email, PayPal account, or Venmo handle) to use for a given payment - follow those instructions exactly. After sending payment, a coach reports the payment as sent; this is a self-reported claim. A Prospect Network administrator manually verifies that claim against what was actually received before a payment is treated as verified and applied to a registration. A payment claim alone, before that verification, does not guarantee that a registration is paid or that a team's spot is secured.
Deposit amounts, full-payment amounts, and any remaining balance follow the pricing configured for the specific event and registration offering selected. Reporting a false, duplicate, or otherwise inaccurate payment claim may result in the claim being rejected and may be treated as a violation of these Terms.
Prospect Network does not currently charge its own processing fees on top of the listed tournament price; money sent through Zelle, PayPal, or Venmo moves directly between you and Prospect Network, and any fees those services charge are between you and that service.
For what happens to payments already made if a team withdraws, an event is cancelled, or weather or field conditions affect a tournament, see our Refund & Weather Policy, which is incorporated into these Terms by reference.
6. Rosters, Player Eligibility, and Waivers
Teams are responsible for maintaining an accurate roster, confirming that each player meets the applicable age and division eligibility rules, and ensuring the required waivers are completed before a player participates. The Tournament Rules page describes age, roster, and eligibility rules that apply across events; specific events may have additional requirements.
Prospect Network may restrict, decline, or remove a player or team from participation where eligibility requirements or required waivers are not satisfied.
Participants are generally required to have a completed, event-specific waiver on file before participating, with parent/legal guardian consent required for minor participants. Signed waiver records - including the assumption-of-risk, liability-release, medical-authorization, and media-release terms a signer agreed to - are their own separate legal record, governed by the waiver document itself at the time it was signed, not by these Terms. These Terms do not restate, replace, or limit the waiver's terms.
7. Player Profiles
Prospect Network offers player profiles that are linked to and managed by a parent/guardian account, or maintained by a coach as part of a team's roster. Player profile information is private by default, as described in our Privacy Policy, which governs how that information is collected, used, and shared.
8. Event Conduct
Coaches, players, parents, and spectators are expected to conduct themselves respectfully and safely at Prospect Network events and to follow the Tournament Rules and any facility-specific rules in effect at a given venue.
Prospect Network, through the tournament director or event staff, may remove or restrict a coach, player, parent, or spectator from an event, and may restrict a team's further participation, for abusive behavior, threats, fighting, harassment, unsafe conduct, or violation of event rules. Removal for conduct reasons does not by itself entitle a team to a refund - see our Refund & Weather Policy.
9. Media
Prospect Network tournaments may involve photography, video recording, livestreaming, statistics, and other tournament media, some of which may be shared on our website or social media as described in our Privacy Policy. Permission to capture and use media of a specific participant is governed by that participant's waiver and consent process, not by these Terms. These Terms do not create a separate or additional media release beyond what a signed waiver authorizes.
10. Website Content and Intellectual Property
The Prospect Network name, logo, branding, website content, graphics, and tournament media, and the software behind the Services, are owned by Prospect Network or its licensors and are protected by applicable intellectual property laws. You may not copy, reproduce, or use them without permission, except as reasonably necessary to use the Services as intended (for example, viewing or sharing a public page).
You may not misuse the Services - including scraping or harvesting data from our website, impersonating another person or Prospect Network, attempting to gain unauthorized access to accounts or systems, or otherwise interfering with or disrupting the Services.
11. Third-Party Services
Prospect Network relies on third-party providers to operate the Services, including website hosting, our account/database provider, email and, where configured, SMS providers, payment-transfer apps (Zelle, PayPal, and Venmo), and analytics/advertising tools, as described in our Privacy Policy. These third parties operate under their own terms and privacy policies, and Prospect Network does not control their availability, security, or practices.
12. Service Availability
We do not guarantee that the website or Services will be available without interruption or free of errors. Prospect Network may maintain, modify, suspend, or discontinue features of the Services, or correct errors, at any time.
13. Disclaimers
The Services are provided on an "as is" and "as available" basis. To the fullest extent permitted by applicable law, Prospect Network disclaims warranties of any kind regarding the website and Services, whether express or implied, including that the Services will be uninterrupted, secure, or error-free.
This section addresses the website and online Services only. It does not address, limit, or replace the assumption of risk, release of liability, or medical-authorization terms in a signed participant waiver, which separately governs participation in tournament activities themselves.
14. Limitation of Liability
To the fullest extent permitted by applicable law, Prospect Network is not liable for indirect, incidental, or consequential damages arising from your use of the website or online Services. Nothing in these Terms is intended to limit Prospect Network's liability for gross negligence, recklessness, intentional misconduct, or any other liability that cannot lawfully be limited under applicable law.
This section does not expand, and should not be read as replacing, the separate liability terms in a signed participant waiver, which governs the risks of on-field tournament participation.
15. Governing Law
These Terms are governed by the laws of the State of California, without regard to its conflict-of-laws principles.
16. Termination
Prospect Network may suspend or terminate an account or access to the Services for fraud, abuse, security issues, repeated violations of these Terms or event rules, or other misuse.
Historical records, such as registrations, verified payments, and signed waivers, may remain preserved for the legal, business- record, and historical reasons described in our Privacy Policy, even after an account or team is archived, suspended, or removed.
17. Changes to These Terms
We may update these Terms and our Refund & Weather Policy from time to time as our services change. Material changes will be reflected by updating the "Last Updated" date on this page. We do not currently send automatic email notice of changes to these Terms.
